Our Confidentiality Policy

Privacy Statement

Arbec Forest Products Inc. and its subsidiaries ("AFP", "we") attach paramount importance to respecting the privacy rights of our website users, customers, suppliers, and employees. Our fundamental responsibility is to safeguard the confidentiality of all Personal information we handle or manage. In this regard, we have developed this Privacy Statement to inform you about how we collect, hold, use, disclose, and protect Personal information necessary for the execution of our professional responsibilities and business activities.

In the context of this privacy statement, the term "Personal information" refers to data relating to an identifiable individual, as more specifically defined by applicable privacy laws. AFP limits its collection of Personal information to what it can reasonably deem necessary for its business activities and operational management.

Oversight of Personal information in our Possession

AFP is responsible for all Personal information in its possession or under its management, including Personal information received directly from clients, suppliers, and AFP employees. We have established policies and procedures designed to protect the Personal information of our clients, suppliers, and personnel. We have appointed a Privacy Officer, responsible for monitoring privacy protection and Personal information on behalf of AFP. If you have any questions regarding our practices in this regard, please feel free to contact the Privacy Officer at vieprivee@arbec.ca or (514) 327-2367.

Justification on the Collection of Personal information

In most situations, AFP will collect, use, and share Personal information related to its clients only in the course of our business activities, whether to comply with laws and regulations or to obtain technical, administrative, analytical, and secretarial support or services.

AFP collects, uses, and communicates Personal information related to its personnel or individuals applying for positions at AFP for the purpose of complying with laws and regulations, offering benefits, managing performance tools, administering, monitoring, and enforcing AFP's internal programs and policies, as well as maintaining professional relationships with its employees and managing their day-to-day aspects.

In addition, we may collect, use, and communicate Personal information related to individuals applying for positions at AFP or seeking to establish a partnership with AFP. This is done to assess their applications, communicate with them about job or partnership opportunities that may interest them, and to monitor and evaluate our internal policies, programs, and practices.

Before collecting Personal information, AFP informs its personnel of the reasons for such collection, its intended use, and the potential individuals with whom this information may be shared. However, it should be noted that, in accordance with the law, there may be situations where Personal information is collected without prior notice to or consent from the individuals concerned.

Consent

A client always has the option to refuse to provide consent for the collection, use, and disclosure of their Personal information or to withdraw previously granted consent, except in cases of specific contractual or legal restrictions and subject to reasonable notice. If a client chooses not to allow us to collect, use, or share their Personal information, it may result in our inability to provide or continue to provide our services.

Similarly, if an employee or job applicant chooses not to allow us to collect, use, or share their Personal information, it may result in our inability to recruit, retain, or provide benefits to them.

Retention of Personal information

Regarding the retention of Personal information related to our personnel, AFP complies with human resources laws and standards. All human resources records and other documents containing Personal information about our employees are destroyed when they are no longer reasonably considered necessary for legal, regulatory, or administrative purposes.

AFP retains Personal information collected from job applicants only for the period required to fulfill the purposes for which consent was given. This information is destroyed when it is no longer considered necessary for legal, administrative, or regulatory purposes. If an applicant is hired, the Personal information collected during the recruitment process is retained for the purpose of managing the employment or partnership relationship or its termination.

Enforcement of Security Protocols Aligned with the Sensitivity of Personal Information

We have implemented technical, administrative, and physical security measures in accordance with industry standards, while adhering to clearly defined internal policies and practices to protect your Personal information. These measures take into account their sensitivity, intended use, quantity, distribution, and medium. Security measures are in place to prevent loss, unauthorized use, and modification of Personal information under our responsibility.

Your Personal information is stored in secure locations and on servers controlled by AFP, located either in our offices or in our service providers' data centers. In all cases, these secure environments are not accessible to the public. To prevent unauthorized electronic access to Personal information, electronic data is protected through secure hardware and electronic infrastructures.

Regarding the service providers described above, we take responsibility for all Personal information shared with them. We require these third-party service providers to respect the confidentiality of Personal information, as well as all requirements of Canadian federal and provincial laws regarding Personal information protection. Under no circumstances are third-party service providers authorized to use Personal information for purposes other than those for which we provided it.
